Consent before capture
Threadseam only reads channels you explicitly add it to. Adding Threadseam to a channel is an opt-in action by a workspace admin or channel manager. Threadseam never reads channels it hasn't been invited to, and it never reads direct messages unless every participant has consented.
Private channels and DMs
For private channels and direct messages, Threadseam requires the consent of every participant before any content is published to the knowledge base. When it detects something worth capturing, it asks each participant privately via a direct message. If anyone declines, nothing is published. Threadseam never shares the original message text — only a redacted summary of the outcome.
What we store
Threadseam stores only confirmed knowledge entries — not raw message content. A knowledge entry contains: the confirmed text of the decision, fix, or answer; the channel it came from; the name of the person who confirmed it; and the date. Message text is processed transiently to generate a draft entry and is not persisted after the entry is confirmed or rejected.
Automatic redaction
Before Threadseam drafts a knowledge entry, it scans for and redacts patterns that look like salaries, health information, national ID numbers, phone numbers, and payment card details. This redaction happens before any human sees a draft. If an entry contains sensitive patterns that can't be cleanly redacted, Threadseam declines to draft the entry and notifies the workspace admin.
No shared model training
Your team's messages and knowledge entries are never used to train or fine-tune models that are shared with other organisations. All AI processing uses isolated, ephemeral model calls. We do not sell, license, or share message data with third parties for any purpose.
Human confirmation
Every knowledge entry is confirmed by a real person on your team before it becomes searchable. Threadseam flags a message as a potential entry and sends it to the relevant team member for review. That person can edit, reject, or approve the draft. Nothing enters the knowledge base without a human sign-off.
Data retention
Knowledge entries are retained until explicitly deleted by a workspace admin, or until the Threadseam plan is cancelled. On cancellation, all stored entries are permanently deleted within 30 days. Business and Enterprise plans may configure custom retention policies.
Transient message data (processed but not stored) is discarded immediately after processing. Audit logs (who confirmed or replaced an entry) are retained for 12 months on the Business plan and are configurable on the Enterprise plan.
Your rights
Individual users can request to see what knowledge entries include information about them, request corrections, or request deletion. Workspace admins can export or delete the full knowledge base at any time from the settings panel. For GDPR data subject access requests, contact privacy@threadseam.app.
